SUMMARY:
We are seeking an experienced Executive Administrative Assistant & HR Assistant to join Spectrum’s team. This is a full-time, in-person position at our manufacturing facility in Colorado Springs. The position requires a friendly demeanor, as the Executive Admin will greet customers and be the first face seen upon arrival to the office.
KEY DUTIES AND RESPONSIBILITIES:
Administrative Support:
- Provide high-level administrative support to executives and senior management.
- Manage executives’ calendars, appointments, and travel arrangements.
- Prepare reports, presentations, and documents.
- Maintain accurate records, databases, and files.
- Ensure the organization’s data is organized and easily accessible.
- Handle confidential information with discretion and professionalism.
- Drive weekly timecards approval and data entry.
- Order lunches for staff, guests and auditors as needed.
- Orders office supplies and janitorial supplies.
- Light accounts payable data entry.
Human Resource Support:
- Handle employee inquiries and assist with HR-related issues.
- Maintain personnel records and ensure compliance with HR policies.
- Assist with HR tasks such as recruitment, onboarding, and employee orientation
- Run background checks, coordinate interviews with executives and senior management.
SUPERVISORY RESPONSIBILITIES:
- This job has no supervisory responsibilities.
QUALIFICATIONS:
- Minimum of 3 years of administrative experience, preferably 5 years.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication and interpersonal skills with friendly demeanor.
- Knowledge of HR processes and best practices is a plus.
- Detail-oriented.
- Proactive problem-solving abilities.
